Challenges

  • Alphard Golf sells Direct to Consumers via Shopify and to Wholesale Customers including Worldwide Golf, Dicks Sporting Goods and Scheels via SPS Commerce, but had no centralised system to manage and process these orders efficiently. Manual handling was prone to errors and delays. Even custom API integrations built were not serving the purpose in the absence of an Admin panel to view what is getting synced where.
  • In order to cater to the wide geography of the US, they partnered with multiple third-party logistics (3PL) providers using Extensiv’s WMS. No out-of-the-box integration was available to use; therefore, Alphard Golf decided to develop their own API integrations using JavaScript. However, the standalone API integration was becoming difficult to manage as it increased the dependency on the developer who developed the integration.
  • Without an automated inventory update mechanism between Extensiv and Shopify, stock inaccuracies led to overselling or missed opportunities.
  • Orders were routed to fulfilment centres through Shopify’s Routing Logic, which did not consider the proximity of the fulfilment centre to the shipping address. This led to higher shipping costs as the distance to the shipping address was not considered.
  • Alphard sought a long-term ERP solution that gave them control over the codebase. Custom code lacked maintainability. Off-the-shelf ERPs were not customizable enough and posed a risk of vendor lock-in.

Benefits

  • Orders from Shopify and SPS Commerce now automatically flow into ERPNext as Sales Orders, eliminating manual intervention and reducing errors.
  • Sales Orders in ERPNext are synced to Extensiv’s WMS, and once shipped, shipment and tracking details automatically generate Delivery Notes and Sales Invoices in ERPNext, update tracking number to the source Marketplace via API Integration, ensuring end-to-end automation.
  • Inventory levels from all 3PL warehouses are synced back from Extensiv to ERPNext and Shopify, ensuring stock accuracy across platforms and preventing overselling or missed opportunities.
  • A Google Maps API–based routing logic was built to determine the nearest warehouse for fulfilment based on customer location and available inventory. This intelligent routing has significantly reduced shipping costs and delivery times.
  • With ERPNext, Alphard now owns its ERP infrastructure and code, avoiding vendor lock-in while gaining the flexibility to build and customise features as needed.
